  • Your Role as a Team Pink Member

  • Team Pink is comprised of local volunteers who have been working on the retreat throughout the year. You often come alongside the VolunSTARS throughout the retreat week to assist with serving meals, helping with activities, assisting with childcare, etc. You have greatly invested your time, resources and love into this retreat, assisting the Retreat Coordinator in planning and preparing for the week.
  • Understanding your role will hopefully help you feel confident in serving the participants during the retreat. You are amazing in terms of the loving service you offer our families and retreat volunteers.
    Your volunteer service is about providing what money cannot buy. We believe that if you show up and love on our families and make them feel loved that will be enough.
    Our goal is to foster loving relationships by our words, actions, service, and connections. Not only will families grow in love during our retreat weeks, but will continue their Little Pink experience long after the retreat ends.

  • Your main goal is to be "Ridiculously Present"

    What does that mean? Basically, the Little Pink families attending are the most important things in your world this week. Take time to focus on the person, listen and learn what they have to say. This week will have many logistics and details, but the focus is not on the logistics, it is about the people.

  • Team Pink Teams

    Leading up to the retreat and during the retreat week, there are many ways that Team Pink Members may assist the retreat coordinator. The opportunities for each retreat location vary, but listed below are some possibilities.
  • Scheduling Team:

    • taking the work of the committee and creating a matrix for the week
    • being the point person for people to check with when scheduling for the week. (for example, if someone is securing an activity and the meal needs to be close by, this takes coordination)
    • communicating with Retreat Director and Retreat Coordinator when you have questions regarding schedule.
    • Getting information on cost for each meal or activity (if any). Preferred donation of meals and activities.
  • Meals Team:

    • Securing meals for families and volunteers.
    • Working with restaurants, community organizations, churches, etc. to get adequate meals for families and volunteers.
    • Important to work with Scheduling committee when making final preparation so that the location of meals coincides with location of activities.
    • Getting information on cost for each meal. Preferred donation of meals and activities.
  • Activities Team:

    • Create a schedule for AM and PM activities for families.
    • Activities should be scheduled being mindful of participants. For example, zip lining is an activity that all skill levels can do; a 5 mile hike in the altitude with a tired cancer patient might be very difficult.
    • Work with local merchants and vendors to explain the cause and secure activities.
    • Getting information on cost for each activity. Preferred donation of meals and activities.
  • Hospitality Team:

    • Work to secure items for welcome bags for families or gifts throughout the week
    • Take LP information to local hospitals and support groups
    • Work with schools or groups who might want to do personalized cards or gifts
    • Conduct a supply drive for items needed for retreat
    • Decorate for special events or meals
  • PR/Marketing Team:

    • Send out local press releases (template created by LP) to various news organizations explaining programming and housing needs.
    • Contact local television stations regarding the upcoming retreat for possible coverage (TV typically likes retreat days where there is good visual activity i.e. paddle boarding, horseback riding, etc.)
    • Look to connect Little Pink with possible grant and corporate partnerships. Internally, Little Pink has a grant writer that can submit to foundations and corporations to financially support your retreat. Additionally, individual letters for a specific ask (adult night out dinner, passes for an event, etc.) can be generated from the home office or templates given.
    • Represent Little Pink in community events- Spring/Fall Festivals, Medical events, etc.
  • Retreat Structure

    PLEASE NOTE: This training is reflective of our Pre-COVID traditional retreat model. In 2021 anticipate changes to programming in areas such as contact with families and retreat scheduling. All changes made will be based on best practices for the safety of participants, volunteers and community members. Little Pink will follow all local and state mandated protocols of the retreat location and will enforce new LP mandated protocols. Your service with us is dependent on your acceptance and agreement with these adjustments.

    Schedule - - Little Pink will utilize the Little Pink App to communicate the schedule. We will go over the schedule in detail on the first night. Come well rested and be prepared for a busy week!  Each retreat week looks different based on the local area resources. 

    Below is a typical day on a retreat:

    9:00 am – Prepare for the morning activity
    10:00 am – Morning activities like beach play, kayaking, pottery making, fishing, SUP, etc.
    12:00 pm – Lunch as a Group
    5:00 pm – Prepare for dinner
    6:00 pm – Dinner as a Group
    7:00 pm – Evening Activity - game night, boat ride, ice cream, crafts, night out for adults.

    Team Pink may be busy preparing for the day’s activities during the actual down times for families.

  • FAD – Are you kidding? We play all week… while we are working!
  • FAD – Rain, wind, ...life happens and decisions are made on the fly to accommodate activities, meals, etc. Go with the flow and SMILE!
  • FAD – Be ready to help with the set up and cleanup of meals and cooking as needed.

  • FACT – Little Pink greatly appreciates your kindness and generosity by giving a week of your time, energy, and resources to make a difference in our families’ lives. The gift of YOU is priceless and we hope that you realize our deep gratitude and love, even if you may not feel it from others.
  • FAD – Although the roles are very different, the care and love received by the families from both types of volunteers are equally important.
  • Your Role as a Little Pink Ambassador

  • Our goal is to foster loving relationships by our words, actions, service, and connections within the communities in which we serve as well. One way to prepare for sharing about Little Pink is to develop and practice your “T-shirt” speech, thus called because when people see all of us in our t-shirts, they want to know what is going on!


    What is your ‘elevator’ or ‘T-shirt’ speech? Our very visible T-shirts invite others to ask who we are and what are we doing. Your expression of your love and passion for Little Pink entices them to find out more about LP or possibly make a donation.
  • Points to touch on: pick 2 or 3 easy ones for you to remember

    • Free week-long vacations for breast cancer survivors and their families
    • Non-profit organization – 501(c)(3) registered
    • We serve the whole family – not just the survivor
    • 15 different locations around the country
    • Family heals together and connects with others
    • 8-11 families at each location
    • Supported by the community – through donations

    The retreat week is led by two amazing volunteers who have been trained by Little Pink to lead you and the families well.
  • Retreat Director

  • The primary leader during the week is the Retreat Director. Little Pink selects and trains this leader carefully to love and lead the volunteers and families throughout the retreat. Their primary role is to “emcee” the week, guiding everyone through the activities and supporting the families and volunstars. Read their job description below.

    • Directs retreat week
    • Makes early contact with families and VolunSTARS

    • Makes decisions with coordinator
    • Leads and loves VolunSTARS as they support families

  • Retreat Coordinator

  • The primary leader prior to the retreat and major planner of the activities and details of the week is the Retreat Coordinator. This is likely a local person who lives or works in the community and has developed connections for securing the needed meals, activities, and properties for the week. This person works months out to create a special week for the families, often in tandem with members of Team Pink. Read over their job description.
  • Responsibilities of the Retreat Coordinator

    • Local in community –spark for LP promotion
    • Liaison for LP Office
    • Coordinates week – schedule, activities, vendors, meals
    • Leads Team Pink, a local group who supports the Retreat Coordinator by helping both pre and during the retreat

  • Fact or Fad

  • FAD – We all are responsible to others, especially when volunteering to serve on a Little Pink retreat. Leaders can’t lead if others aren’t willing to follow. Please come ready to proactively see how well you can lead by serving.
  • FACT – Yes, and so are you!
  • FACT – Retreat leaders will sometimes have to speak to behaviors, attitudes, or actions that reflect poorly on Little Pink’s values or are hurtful to the participants’ retreat experience. Please accept correction with the grace and love with which it is intended.
  • Team Pink and VolunSTARS

    Let’s explore the differences between Team Pink and VolunSTARs!
    VolunSTARs are the volunteers specifically tasked with caring for the families. They receive specific training in relating to the families and in interacting appropriately with them while caring for their needs. Each VolunSTAR is assigned a family to serve during the week. VolunSTARs commit to be at the retreat for an entire week, often using vacation time and securing their own travel to serve at the retreat locations. They stay together in accommodations provided for them, dine with the families, and secure donations to offset that cost.

    We have high standards and expectations that we require of those who would be in direct contact with our families. Why do these standards mean so much to us? We want to create an atmosphere of loving relationships, hopeful experiences within a nonjudgmental environment for our families. We believe these standards help guide those who serve with us to embrace our expectations.

    • Little Pink dress code tries to address the holistic needs of our participants. Honoring this dress code enables us to create an environment of comfort if anyone is experiencing body image issues. We want the focus on their beauty, not ours.

    • Alcohol and Volunteer Policy - All volunteers should remember that they are in service to Little Pink and the community views them as such. It is inappropriate to have a drink in areas where families or community supporters might be present (event, community pool, local restaurant, bar, on the beach, in public, etc.) At no time should volunteers be drinking with any participant. Additionally, no underage drinking is allowed under any circumstances.
